Complaints and Concerns
11th Aylesbury Scouts is committed to providing a positive, inclusive and well-managed Scouting experience for young people, volunteers and families.
We recognise that concerns or complaints may occasionally arise and are committed to ensuring that these are handled fairly, respectfully and appropriately.
Our Approach
All concerns and complaints relating to 11th Aylesbury Scouts are managed in line with The Scouts’ national Complaints Policy and Policy, Organisation and Rules (POR).
We do not operate a separate local complaints policy. This ensures that concerns are handled consistently and appropriately across Scouting.
Raising a concern
Where appropriate, concerns can often be resolved informally through discussion with the relevant leader or a member of the Group leadership team.
If a concern cannot be resolved informally, or if an individual does not feel comfortable raising it locally, it will be managed in line with The Scouts’ national procedures.
Safeguarding
Any concerns relating to safeguarding or welfare are managed separately under The Scouts’ Safeguarding Policy and Procedures and are treated with the highest priority.
Data Protection and Privacy
11th Aylesbury Scouts is committed to protecting personal data and respecting the privacy of young people, parents, carers, volunteers and others who engage with the Group.
We handle personal information responsibly and in line with UK data protection legislation, The Scouts’ policies, and Policy, Organisation and Rules (POR).
How we use personal information
Personal information is collected and used only where necessary to support the safe and effective running of Scouting activities. This may include information provided when:
- Making an enquiry or contacting the Group
- Joining the Group or being added to a waiting list
- Volunteering with the Group
We use personal information only for legitimate Scouting purposes and do not use it for marketing or unrelated activities.
Our approach to data protection
In line with The Scouts’ policies:
- We collect only the information we need
- We use personal data fairly and lawfully
- We keep information secure and confidential
- We share information only where appropriate and necessary
- We retain information only for as long as required
Access to personal data is limited to those who need it to carry out their role within Scouting.
Safeguarding and data protection
Where necessary, personal information may be shared appropriately to support safeguarding, welfare or legal obligations, in line with The Scouts’ safeguarding and data protection requirements.
